Phone systems for retail stores

Most calls to a store are the same few questions: are you open, where are you, do you have this in stock. The person who should answer is helping a customer at the register, so the phone rings out and the caller goes somewhere else.

What the phones need to do

  • Answer hours and directions without a person.
  • Ring the counter, the back office and the manager's cell phone together, so somebody picks up.
  • Queue callers with a message instead of ringing forever.
  • Send after-hours calls to voicemail that arrives by email.
  • Work the same way at every store, with one main number if you want it.

How we set it up

We set stores up on RingCentral. A short menu handles the common questions, calls ring several phones at once, and the schedule switches routing when you close. Managers use the app, so they can take store calls from anywhere and the caller sees the store number.

With several stores, each one keeps its local number, calls transfer between stores like an extension, and a main number can ask callers which location they want.

Everything is set up remotely. The desk phones arrive configured, and your staff plug them in.

Things to plan for

  • Cloud phones and most card terminals need the internet. Backup internet keeps both working; see FAILOVER5.
  • Alarm lines are often still on copper. See our guide on security alarm phone lines.
  • Your numbers: we port them, so the number on your signs and listings keeps working.

Questions

Can callers pick a store?

Yes. A main number can ask which location they want, and each store also keeps its own direct number.

What if the internet goes down?

Calls can forward to a cell phone automatically, and with backup internet the phones keep working normally.
